Airbnb banned for official state business travel

Effective with the date of this administrative memo, Airbnb services should no longer be used by anyone on official University of Florida travel.

Updated Travel Reimbursement Directives

The University of Florida’s directives for travel reimbursements have been updated to clarify reimbursement for commercial airfares.  All travelers and originators should review the updated directives before purchasing airfare, to ensure all requirements for reimbursement are met.

Nine-month faculty may elect to be paid over 12 months starting with 2018-19 academic year

Starting this coming academic year, the option for 9-month faculty to be paid over 12 months will now be available.

Timeliness of Travel, Entertainment and Employee Reimbursements

Beginning July 1, 2018 the University is standardizing the expense reimbursement process to address the timeliness of reimbursements and match the requirements detailed by IRS Publication 463 for all employee reimbursements.

Year End Information for 2018 Fiscal Year End Closing

It is that time of year again to prepare for the annual closing of the fiscal year. The 2017-18 fiscal year ends on June 30, 2018. The scheduled date for closing the General Ledger for the 2018 fiscal year is Tuesday, July 17, 2018.

Delegation of Financial Tasks

Vice Presidents, Deans, Directors and Department Chairs are responsible for the financial activities in their respective areas. A Vice President, Dean, Director, or Department Chair who chooses to delegate financial tasks such as transactional processing, record-keeping, approving, monitoring, and reporting, to another employee, remains responsible and accountable for the above listed activities.

2018 Tax Changes Affect Parking Decals

The Tax Cuts and Jobs Act passed by Congress in December 2017 affects employer-provided qualified transportation fringe benefits, including workplace parking plans. Employee parking costs in 2018 are no longer a deductible expense, meaning they are subject to Social Security (or FICA Alternative for participating employees), Medicare and Federal withholding taxes.
