University Asset Management Program

The University has chosen to outsource the management of maintenance for our laboratory instruments and equipment to Thermo Fisher Scientific with their Thermo Scientific LIFECYCLE Asset Management Program. The LIFECYCLE Program is an asset management solution that is designed to help the University control it's overall service costs, maintain inventory, manage suppliers, and reduces the administrative burden of managing maintenance services.

The Program allows each department to pay a one time annual fee (per each piece of instrument or equipment covered under the program) that will cover all the instrument and equipment maintenance expenses required, including any preventative maintenance costs that are required by the manufacturers specifications. The advantages of the Thermo Scientific LIFECYCLE Asset Management Program are:

  • Every instrument and equipment added to the Program comes with a document that shows the specific services (service entitlements) that will be delivered, i.e. preventative maintenance (PM), calibration, etc.
  • No request needed to add equipment onto the program
  • A blanket PO is used for repairs under $5,000 on instruments and equipment on the Program
  • Yearly fixed costs for repairs are 15% less than other service agreements
  • Program provides assistance in deciding most cost effective service methods
  • Departments can choose to use their preferred service providers for repairs
  • Preventative maintenance schedules are tracked on-line and periodic reminders are sent to the departments
  • A dedicated, on-site Program Facilitator that manages the daily operations of the University
  • Key reports are accessible through requests to the Program Coordinator or via the Thermo Scientific Resource Center at www.lifecycle3d.com (instructions can be found in the URL). Reports include:
    • Maintenance Activities by instrument / equipment (repair records)
    • Invoice Expense Center Summary
    • Department Allocation Summary

When considering which piece of instrument or equipment is best suited for this LIFECYCLE Program, departments should consider the value, age, and condition of the instrument/equipment as well as the frequency of use and criticality of the instrument / equipment to the department. Departments may also consider alternatives to the University’s selected LIFECYCLE Program, such as:

  • Assumed risk (Self-Insure) – Non-contractual agreements for maintenance and repair based on time and material costs
  • Other maintenance agreements – Departments need to notify and work directly with the Purchasing Department
